Adding new employees to the pay system
When a new employee is hired, human resources personnel are responsible for collecting and sending all required documentation to the Public Service Pay Centre: Mail Facility. In addition, human resources personnel are responsible for creating the new employee record in PeopleSoft.
Hiring documentation
- Letter of offer and acceptance
- Including part-time work schedule, if applicable
- Signed oath or solemn affirmation
- Applicable only to those employed under the Public Service Employment Act
- Personal record identifier (PRI) information
- For employees without an existing personal record identifier, a new PRI must be created using the employee’s SIN, last name, initials and date of birth.
Employee information (from the employee questionnaire or equivalent)
The employee must sign and date a document containing the following details:
- initials
- surname
- official name
- social insurance number
- date of birth
- marital status
- sex
- language preference
- first official language code
- emergency contact
- mailing address
- telephone number
- previous service in the public service
Other required forms
- Tax forms (TD1 form, provincial tax form)
- Direct deposit enrolment
- Additional entitlements if applicable (example: isolated post allowance form)

- Employee record
