Management Print Solutions (MPS) is a series of tools, techniques and accepted approaches used to assist an organization to quantify and optimize its Imaging environment either through better in-house management of the complete life-cycle of their imaging devices, or through outsourcing of this management to a contractor.

MPS is intended to give structure and generate savings from currently decentralized internal printing, copying, scanning and faxing activities. The goals of MPS are to:

  • reduce total cost of the imaging environment;
  • increase end-user productivity;
  • reduce procurement processing time;
  • address sustainable development in procurement and operation; and
  • provide business case and performance metrics to support particular courses of MPS transformation.

For all requirements, a Request For Proposals (RFP) will be issued to all firms listed on the Supply Arrangement as providing the consulting services required. The RFP will include a statement of work (SOW) developed from a standardized MPS template, describing the demographics of the organization to be studied and will outline the instructions, evaluation procedures and basis of selection for contract award.

For any RFP, the Project Authority will have to detail the following parts of the requirement:

  • Identify need and Category of Service;
  • Develop Statement of Work (SOW);
  • Write evaluation criteria;
  • List all Supply Arrangement (SA) holders in the required Categories of Service.
